Who we are and what this covers
This policy explains how Base Entertainment Pty Ltd (ABN [ABN]) ("we", "us"), based in Healesville, Victoria, Australia, handles personal information across:TourOps — our web platform at tourops.baseentertainment.com.auTourOps App — our mobile app for iOS and Android (package: [com.baseentertainment.tourops])TourOps ON ROAD — our companion mobile app for touring personnel (package: [com.baseentertainment.tourops.onroad])Both apps are published on Google Play and the Apple App Store under the developer name Base Entertainment Pty Ltd, the legal entity responsible for your personal information under this policy.We comply with the Australian Privacy Act 1988 (Cth), and with the GDPR/UK GDPR and CCPA/CPRA where they apply. Information we collect
Account details — name, email, phone, organisation, role, profile photo.Tour and personnel data — rosters, schedules, hotel and transport lists, dietary requirements, emergency contacts, and travel document details where needed for international touring.Financial data — wages, fees, bank details for payment, expense claims and receipts.Content you upload — documents, images, notes and messages.Technical data — device type, app version, IP address, crash logs and usage information, collected automatically.The mobile apps may ask permission to use your camera (receipt and document capture), location (venue check-ins and travel features — only while you're using the feature, never in the background), push notifications (schedule and sales alerts) and calendar (exporting your schedule). Every permission is optional and can be switched off in your device settings.If your tour or organisation invited you to TourOps, they enter and control much of your data, and are responsible for its accuracy.
How we use it
We use personal information to run the Service — schedules, logistics, budgets, expenses and payroll features — to secure accounts, send operational notifications, provide support, improve the product, and meet legal obligations such as tax and employment record-keeping. Some features use AI (currently Anthropic) to process content you submit, such as extracting data from receipts; that content is not used to train AI models.
How we share it
We never sell your personal information. We share it only:within your tour or organisation, according to the access permissions set by your account administrator;with service providers who help us run TourOps — including Supabase (database and authentication), Vercel (hosting), Expo, Apple and Google (app delivery and notifications), Anthropic (AI processing), and Google Maps — all bound by contracts limiting how they can use it;with integrations you or your organisation choose to connect, such as Slack or Meta;where the law requires it, or to protect people's safety.Some providers process data outside Australia (mainly the US and EU). We take reasonable steps to ensure your information is protected wherever it goes, including EU Standard Contractual Clauses where required.
How long we keep it
Account and tour data is kept while your account is active. Financial, payroll and tax records are kept for at least 7 years as Australian law requires. Logs and backups are kept for limited rolling periods, then deleted or de-identified.
Security
Data is encrypted in transit and at rest. Access is controlled by roles and row-level security so people only see what they're authorised to see, and passwords are stored hashed. If a data breach is ever likely to cause serious harm, we'll notify affected people and the OAIC in line with Australia's Notifiable Data Breaches scheme.
Your rights
You can access, correct or ask us to delete your personal information, manage notifications in the app or your device settings, and withdraw any permission at any time. EEA/UK users have additional GDPR rights including portability and objection; California residents have CCPA/CPRA rights (and we don't "sell" or "share" data as those laws define it). To exercise any right, email hello@baseentertainment.com.au — we respond within 30 days. If data was entered by your organisation, we may work with them to fulfil your request.
Cookies
The web platform uses only cookies that are necessary to sign you in and keep the Service working, plus first-party analytics. No third-party advertising or tracking cookies.
Children
TourOps is a business tool for working adults and isn't directed at children under 16. Where a production involves performers under 18, their details are managed by the responsible account holder with appropriate parental consent.
Changes and complaints
If we make material changes to this policy, we'll notify you through the Service or by email before they take effect.
